How to Plan a Wedding Budget
A wedding budget works best when every major expense has its own limit. Whether you’re planning a small family function or a multi-day celebration in India, start with what you can comfortably spend and build the event around that number.
1. Set your total budget first
Decide your total available amount before booking a venue or caterer. Avoid treating loans or uncertain gifts as guaranteed funding. Separate expenses you must pay from optional upgrades and decide who is responsible for each payment.
2. Split the budget into categories
Common wedding expenses include:
- Venue and accommodation
- Catering, snacks and beverages
- Decoration, flowers and lighting
- Outfits, jewellery and grooming
- Photography and videography
- Music, entertainment and logistics
- Invitations, gifts and miscellaneous costs
- Contingency for last-minute expenses
3. Example for a ₹10 lakh wedding
Here is one illustrative allocation, not a price quote:
| Category | Example budget |
|---|---|
| Venue and catering | ₹4,00,000 |
| Decor and lighting | ₹1,20,000 |
| Clothing and grooming | ₹1,20,000 |
| Photography | ₹90,000 |
| Entertainment and logistics | ₹70,000 |
| Invitations and gifts | ₹50,000 |
| Contingency | ₹50,000 |
Total: ₹10,00,000. Your ideal split can differ considerably depending on the city, guest count, venue and family priorities.
4. Calculate the cost per guest
Ask caterers and venues for complete per-person quotes. Confirm taxes, service charges, minimum guarantees, food counters, staffing, parking and overtime. For example, catering at ₹1,200 per guest for 200 guests is ₹2,40,000 before any additional applicable charges.
5. Keep a contingency buffer
Many couples reserve roughly 5–10% for unexpected expenses. This helps with guest-count changes, transport, last-minute decorations or weather-related arrangements. Avoid spending the buffer before the event.
6. Track advances and payment dates
Keep written vendor agreements that clearly specify deliverables, cancellation terms, taxes and payment milestones. Maintain one spreadsheet with estimated cost, final negotiated amount, deposit paid and remaining balance.
